kindra.plumbing/today The morning board — today's jobs, what needs you, and what you're owed
Today, on the phone
Chapter one

You're a plumber whoended up runningan office.

Quotes, customers, stock, the run sheet, who owes you what, and the paperwork on top. Nobody trained you for that half, and it's the half that decides what the year is worth.

Where the work leaks out

Six leaks you can already name.
None of them measured.

Every plumbing business I talk to has most of these. Nobody's being slack — it's that all of it lives in somebody's head, and heads are busy.

LEAK 01

The quote you never followed up

Sent on a Tuesday, never chased. They went with whoever rang them back. You'd have won half of them with one phone call.

LEAK 02

The customer you've forgotten you have

Good job two years ago, happy client, no record of the hot water unit you put in or when it's due for replacing.

LEAK 03

The 11pm call you slept through

They rang the next plumber on the list. You'll never know the job existed.

LEAK 04

The variation nobody billed

Extra hour, two more fittings, agreed in the driveway. It never made it onto the invoice.

LEAK 05

The invoice at 47 days

Sent, never chased, quietly funding somebody else's business instead of yours.

LEAK 06

The paperwork you carry home

Form 4s, Form 9s, test dates. All of it living in your head until a Sunday afternoon catches up with it.

Four numbers your business has never been told

You can feel these.
You can't see them.

Not because you don't care — because nothing you use today counts them. The system counts all four from the day it goes in.

0%of quotes that go out never get a second contact. That's the cheapest work you'll ever win.
0days, on average, before an unchased invoice actually gets paid.
0devices on your register that each come round again in twelve months.
0%of calls to small businesses go unanswered. Most of those callers never ring back.

These are the patterns across the plumbing businesses I've looked at, not a promise about yours. On the call we put your numbers in — your quote count, your debtor days, your device register — and you decide whether the gap is worth doing anything about.

01

The morning tells you the truth.

What needs you today, the run in order with drive time, what you're owed, and what's coming due. Not a dashboard full of charts — three strips and the next action. If everything's clear, it says so and gets out of your way.

02

The job runs from your hand.

Hold the button and talk for twenty seconds in the truck. It comes back structured — work performed, materials used, follow-ups. Photos carry GPS and a timestamp. Materials come off your own price list, so the invoice is right before you've packed up.

03

The paperwork drafts itself. You approve it.

Notifiable and certifiable work reads its own categories off the job lines and fills the form — address, owner, lot and plan already there. Queensland Form 4 and Form 9 shown here; the same engine is configured for your state's forms and authority. Always shown for your approval, never sent silently, because it's your licence number on it. The board behind it shows everything still waiting and how long it has.

04

The customer gets a business, not a text message.

They see you're on the way. They approve the quote on their phone. When it's done they get the before and after, the Form 4 copy, the warranty and the tax invoice — under your name, not ours. That's the part that gets you recommended.

05

Every device is next year's work.

Scan the tag, enter the test values, GPS checks you're at the registered location. Form 9 generated, lodged to the right council, copy to the owner, ten-day clock closed — and next year's job is on the schedule before you've packed the ute.

06

Money stops being a guessing game.

What you're owed, what's not due yet, what's past 30 days, and your real average days to get paid. The chase runs itself — friendly on day 7, firmer on day 14, a phone-call prompt on day 21 — and stops the instant they pay. This is usually the fastest money the system finds.

kindra.plumbingMoney

Australian B2B service businesses wait 32–50 days to get paid

07

An audit becomes one button.

QBCC gives you ten days. Every Form 4 registered in the period, the matching invoices, the job photos, the customer copies with send timestamps — assembled already, because it's a by-product of doing the lodgements properly. PDF and index.

kindra.plumbingAudit pack

Six days to produce documents — already assembled

08

The week, and the year, on one board.

Service, backflow tests and emergencies colour-separated, with the slots you've still got free. Next year's annual tests drop straight in from the register, so the quiet months fill themselves.

Chapter two

You've already testedhundreds of these.Where's the list?

Every one is a job that comes round again in twelve months, whether you're holding the register or somebody else is.

Your backflow register is a book of work

Every device is a job that
books itself.

Testable backflow devices have to be tested every twelve months by an endorsed plumber, in every state. The water authority keeps a register and writes to the property owner before the anniversary. Right now that letter sends them to whoever answers the phone.

Chapter three

The phone goes atfour minutes pasteleven.

You're asleep. She's got water coming out under the kitchen sink. One of you has to answer, and it doesn't have to be you.

The 11pm call

The call you didn't hear
is the job you didn't get.

Roughly 62% of calls to small businesses go unanswered, and about 85% of those callers never ring back. It works out whether it's an emergency, captures the address, and texts the on-call plumber a summary — or books it for 7am if it can wait.

Built for your business, not everyone's

Rented software is built for the average plumbing business.
There isn't one.

You don't work the same councils, price the same way, or run the same jobs as the shop down the road. The software shouldn't pretend otherwise.

Your councils

You own it

M1 · The engine

Jobs, photos, Xero, and the obligation engine. Form 4 drafting and lodgement tracking. The clock starts working for you.

M2 · The board

Unlodged board, customer-copy automation, audit pack. M1 and M2 together is already a product worth paying for.

M3 · The register

Backflow register, Form 9 field flow, per-council adapters, annual scheduling. Not started until you've used M2 for two weeks.

M4 · The clever bits

Voice to job, category inference, after-hours triage. Built last, on top of something already working.

Straight answers

The questions I actually get.

I've already got ServiceM8.
Keep it. This sits beside it, and we can pull your history across read-only so you lose nothing. ServiceM8 is a good job app — it just doesn't lodge Form 4s or track backflow anniversaries, because it wasn't built for Queensland plumbing obligations.
My admin does the Form 4s.
Plenty do. Two honest questions: how many hours a week is it, and what happens the week she's on leave? The value isn't replacing her — it's that the drafting is done before she opens the file, and nothing sits in anyone's head.
Does it lodge automatically?
Honest answer: it drafts everything, pre-fills the categories and tracks the clock. Whether it can submit programmatically depends on whether a lodgement API exists — that's to be confirmed, not promised. If there isn't one you get assisted lodgement: everything filled, you confirm. I won't claim an automatic path I haven't proven end to end.
I'm not going to get audited.
Maybe not. The program is published and selection is random, so it isn't something you can plan around. Being ready costs nothing extra — the audit pack is a by-product of doing the lodgements properly.
How long does it take?
Weeks, not months, for M1 and M2 — and you're using them while the rest is built. Two days in your business up front to learn how you actually work, then staged delivery.
What do you need from me?
Two things in week one, and they're the usual reason a build like this slips: administrator access on your own Microsoft 365, and your price list with your fifty core stock items and their cost prices. Everything else I work around.
What if I sell the business?
The system goes with it, because you own it. That's the difference between a build and a subscription — no account to transfer, no vendor to ask.
